Service Administrator

Location: Ashland, VA


We are looking for an energetic entry-level professional to work in our Customer Service Department as a Service Administrator. This position will work closely with customer service reps to ensure technicians are scheduled and dispatched as needed. They are fully responsible for the schedule and for getting dispatches (communication containing scope of work, timeline, technician information) to the technician, customer and project manager.


  • Providing timely and courteous dialogue with our customers to make sure their requests for service work are being scheduled promptly and accurately. This includes supporting our service managers and remote service technicians.
  • Utilizing a CRM tool to coordinate service trips, establishing timelines to meet customer expectations, and conducting follow-up conversations with customers on unresolved issues to ensure complete satisfaction
  • Pro-actively addressing upcoming service requirements by monitoring the sales and engineering funnels
  • Serving as back-up the Customer Service Representatives as necessary


  • Two-year Associate of Arts Degree with a minimum of two years administrative experience
  • Knowledge of Microsoft Office Suite with CRM or ERP experience preferred
  • Ability to thoroughly and accurately complete tasks under tight timelines
  • Desire to do what is necessary to deliver an exceptional customer experience
  • Excellent written and verbal communication skills
  • Ability to work independently, yet be a team player
  • Ability to work in a fast-paced, extremely customer-focused environment
  • Sound judgement to make scheduling decisions
  • Quick learning and multi-tasking capabilities
